Privacy Policy

This Privacy Policy explains how VA Pro Studio LLC ("VA Pro Studio," "we," "us") collects, uses, and protects information when you visit vaprostudio.com or use our client portal (together, the "Site").

2. Information we collect

Account information. You sign in with Google, and we receive only the email address (and, where provided, the name) associated with that Google account. We never see or store your Google password, and we do not ask you to create a password with us. If we add another sign-in method in future, this section will say so before it is available.

Business profile. After registration you may complete a questionnaire about your business — company name, industry, team size, and similar operational details. This is information about your business, not about you as an individual.

Payment references. Our portal does not process payments. When you pay an invoice, you may record the amount, date, and reference of that payment in the portal. We do not collect card numbers, bank details, or any other payment credentials.

Correspondence. If you email or call us, we keep the content of that communication so we can respond and keep a record of our work together.

Technical data. Our servers automatically record standard technical information such as IP address, browser type, and the pages requested, for security and troubleshooting. See our Cookie Policy for the cookies we use.

We do not ask for your phone number, home address, date of birth, government ID, or any sensitive personal information through the Site.

3. How we use information

To create and secure your account and let you sign in.
To understand your business and deliver the services you engage us for.
To communicate with you about your project, invoices, and support.
To keep the Site secure, prevent abuse, and diagnose technical problems.
To comply with legal obligations, including tax and accounting records.
With your consent, to send you service updates or announcements (see our Data Consent page).

We do not use your information for advertising, and we do not build marketing profiles.

4. Sharing and disclosure

We do not sell, rent, or trade your personal information, and we do not share it with third parties for their own marketing.

We share information only in these limited cases:

Hosting. Our Site and database run on Google Cloud Platform (Google Cloud SQL, PostgreSQL) in the us-east1 region, United States. Google processes data on our behalf under its Cloud data-processing terms.
Sign-in provider. Google handles authentication under its own privacy policy.
Internal AI tools. Members of our own team may use AI models (for example, Anthropic's Claude) to help manage internal project and task records. These providers process information under their own data-processing terms, which may include transferring data outside the United States under standard safeguards such as Standard Contractual Clauses. We do not send your contact details (phone, email, or mailing address) to these providers.
Legal requirements. We may disclose information if required by law, subpoena, or court order, or to protect our rights, safety, or property.
Business transfer. If VA Pro Studio is sold or merged, your information may transfer to the successor, who will remain bound by this policy.

5. Data retention

Active accounts. We keep your account and business profile for as long as your account is active.
After closure. When your account is closed or our engagement ends, we keep your data for 90 days so you can retrieve anything you need. After that period we delete it from our live systems. Routine backups are overwritten within 30 days thereafter.
Business records. Invoices, contracts, and payment records are retained for as long as required by U.S. federal and North Carolina tax and accounting law (generally up to seven years), even if the related account has been deleted.
Correspondence is retained for up to three years after our last exchange.

6. Your rights and choices

You may at any time:

Access the personal information we hold about you.
Correct inaccurate information.
Delete your account and personal information (subject to the record-keeping exceptions above).
Withdraw consent to optional communications.
Opt out of any analytics cookies through the cookie banner, if and when we enable analytics.

To exercise any of these rights, email vaprostudio.nc@gmail.com with the subject line "Privacy request." We will verify your identity using your account email and respond within 45 days. We will not treat you differently for exercising your rights.

Residents of California and other U.S. states with privacy laws may have additional rights under those laws; the process above applies to those requests as well.

7. Security

We protect your information with encrypted connections (HTTPS), hashed passwords, access controls, and Google Cloud's security infrastructure. No system is completely secure, and we cannot guarantee absolute security, but we will notify you as required by law if a breach affects your information.

8. Children

The Site is intended for businesses and is not directed to anyone under 18. We do not knowingly collect information from minors. If you believe a minor has provided us information, contact us and we will delete it.

9. International visitors

The Site is operated from the United States and intended for U.S. businesses. If you access it from outside the U.S., your information will be processed and stored in the United States, except for the limited service providers disclosed in Section 4, who process information under their own terms.

10. Changes to this policy

We may update this Privacy Policy from time to time. The effective date at the top reflects the latest version. Material changes will be announced on the Site or by email to account holders.
